Thank you for your interest in volunteering! Volunteers are essential to creating a great experience for all festival attendees.

These positions are public-facing and provide the opportunity for all attendees to have the best experience possible. Every position requires a strong sense of customer service, a positive attitude and great communication skills.

Please read the position description and be sure you can perform the required tasks. Volunteers must be at least 18 years of age.

Volunteer Important Information:

  • The Volunteer Application deadline is February 28th, 2025.
  • Volunteer shifts are to be available for scheduling on Friday, Saturday, and Sunday of the BICC event, with the potential for set up and break down shifts on Thursday the 24th and the morning of the 28th following the event. Schedules will be released in mid-March
  • You will receive a 2-Day General Admission Pass for the 2025 BICC as long as you volunteer for a minimum of three 3.5-hour shifts plus a 1-hour Mandatory Training Virtually AND a 1-hour Mandatory Meeting Onsite at the hotel on Friday morning at 11 am Central Time.
  • There will be a virtual Volunteer meeting prior to the Conference. The Volunteer Coordinator will send out multiple dates and times in February for you to select from to meet this portion of the volunteer exchange.
  • Communication in both directions is vital for both parties and the experience. Mark volunteer@beljanski.org in your email to ensure you receive our communications during the application process.
  • Volunteers are responsible for any onsite accommodations and parking or travel fees that are needed on your behalf to fulfill your volunteer requirements. (Invite a Friend to Volunteer, split the costs, and share the experience!)
  • Volunteers are responsible for meals (outside of the daily lunch provided on Saturday and Sunday at the conference) and personal belongings brought to the Hotel at the Conference.
  • Volunteer Group channel on Telegram to connect for rideshare, etc. are an open platform for approved volunteers

Volunteer Roles for BICC

Registration Check-In Shift Lead:

Thrives in customer service situations, providing hospitality engagement with all guests at check-in, troubleshooting spreadsheets, lists, Eventbrite app (or of the like in registration tools), operating Eventbrite App from your cell phone, navigating multiple ticket holder registration, knowledgeable of BICC information and conference programming.
*Willing to utilize your smartphone for the Eventbrite App

Registration Check-In:

Operate Eventbrite App from your cell phone, navigate multiple ticket holder registration, know about BICC information and conference programming, and have customer service skills and general experience in the registration check-in process.
*Willing to utilize your smartphone for the Eventbrite App

Volunteer Registration Check-In Lead:

Responsible for checking in volunteers, directing them as needed based on shift assignments, and assisting with general information for guests and staff.
*Prior experience in a similar role is strongly advised

General Runner:

This is a role that will be stepping into any volunteer role where we may be shorthanded or need additional help, able to shift from one role to another and take on more than one instruction at a given time, standing and walking for long periods and carrying items up to 30lbs may be included in tasks.

Attendee Greeter:

Welcome Conference attendees with a smile and assist them with directions and questions. They help us create a warm and friendly atmosphere for attendees. Assist ADA participants in programming destinations. Greeters are also checking for admission to the Conference Programming outside the rooms held.

Set-up or Breakdown:

Assist with set-up or breakdown of large/heavy items as needed. This is a physically strenuous job yet not always requiring lifting and carrying items over 30 lbs during the entire shift. Assist with hanging marketing banners and signage. Able to multitask.

  6. Cleanliness and organization of the room; assisting the Event Directors as needed in a professional manner

Tech Savvy Assistant:

If you’re comfortable with technology and like to share your knowledge with others, our conference team needs you. Help fellow volunteers successfully use our registration portal app, printer, navigate computer or cell phone software glitches, and provide troubleshooting and support to ensure the conference runs smoothly for participants from registration and volunteer check-in.

Stage Liaison:

Assist Stage Production with Program timing by providing help in aspects of carrying items on and off stage, assisting talent on and off stage, able to be actively present in time management, having knowledge of professional stage presence, may need to facilitate Q&A with the audience, which may involve roving microphones in the audience.
